Resource Database Specialist (Excel Guru & Salesforce Experience Needed)

CLASSIFICATION: Exempt

HOURS AND WORK SCHEDULE: Full-Time. Hours are typically Monday-Friday, 8:30 AM – 5:00 PM. Occasional evening and weekend hours.

LOCATION: Hybrid – Ready Ready operates on a hybrid schedule, with some work occurring in-person in one of the shared offices in Greensboro or High Point, North Carolina; the remainder of work time is remote. Candidates must live in Guilford County.

SALARY: $45,000-$60,000, commensurate with related credentials and experience.

REPORTS TO: Community Alignment and Engagement Manager

ABOUT READY FOR SCHOOL, READY FOR LIFE

Ready for School, Ready for Life (Ready Ready) is a collaborative effort to build a connected, innovative system of care for Guilford County’s youngest children and their families.

Ready Ready fosters deeper collaboration among organizations across Guilford County to create a seamless system of care for families with young children. As a backbone organization for over 300 collaborative partners, Ready Ready navigates among partners and within the community to identify and address gaps and needs. We empower our partners with essential resources, including data, funding, training, and best practices, to effectively tackle the ever-evolving challenges faced by families. Together, we streamline the process for accessing support, ensuring children have the foundation to thrive.

This initiative was born in 2007 from a community effort focused on reducing poverty in Guilford County. In 2017, The Duke Endowment, North Carolina's largest private foundation, and Blue Meridian Partners, a national partnership of results-oriented philanthropists, joined the effort to promote economic and social mobility. As investees in early childhood initiatives, they joined other funders who together tapped Ready Ready to build a long-term, comprehensive, evidence-based approach to improving childhood outcomes for Guilford County. This is system-building work at its core.

As an entrepreneurial start-up organization with a forward-looking vision and a $6M budget, Ready Ready is dedicated to building innovative solutions and shaping the future of early childhood care. Please note that while we are deeply committed to supporting young children and their families, our work does not involve direct interaction with children with the exception of a few roles. Instead, we focus on equipping our partners with the tools and resources they need to make a lasting impact in the community. That includes state agencies, medical home providers, education systems, and community-based organizations.

POSITION SUMMARY

The Resource Database Specialist is responsible for translating programmatic processes into technological processes, collaborating with the technical team on the design and maintenance of the system, managing database reporting functions, monitoring accuracy of all database resource information, tracking referral challenges, and training and supporting users of the resource database and Community Portal. The Resource Database Specialist ensures common data types and taxonomy are aligned and meet the needs of Navigation prenatal - 5. This position is directly responsible for monitoring referral patterns, tracking referral challenges, and leveraging data to address service gaps.

PRIMARY RESPONSIBILITIES

Data Entry and Reporting

  • Enter data into Salesforce and maintain accurate records.
  • Verify the accuracy of information being entered into the Salesforce.
  • Perform regular and ongoing updates on information entered into Salesforce.
  • Update and manage data to ensure information is current and accurate.
  • Review information for deficiencies or errors, correcting and analyzing data.
  • Resolve any discrepancies in information obtained from organizations within Salesforce.
  • Generate and modify reports and dashboards, complete quarterly reports in various systems including Salesforce, Tableau, and Spreadsheets to inform milestones and progress indicators
  • Creates and manages forms, training materials, charts, maps, dashboards, or other visualizations to communicate data effectively to present identified gaps and other resource information.
  • Track and manage Routes to Ready partners resource requests, issues, or challenges submitted via Salesforce.

Technology Support

  • Ensure maintenance of Agency Finder and Community Portal App referral information for internal staff, Routes to Ready partners, community partners and families.
  • Work closely with the technology department to ensure Community Alignment design needs are met and improvements are made as needed.
  • Manage spreadsheets, review data and reports regularly to monitor Community Alignment trends; including but not limited to, reports for resource needs, program engagement and recruitment, gaps in services, and Routes to Ready partners referral challenges.
  • Develop and utilize content formatting and standardization rules, resource updating processes, other database policies, and training materials.
  • Utilize Salesforce data to inform process for identifying gaps in services and provide recommendations to management.
  • Support the roll-out of new functionality and services by advising on design and implementation, as needed.
  • Provide feedback to Ready Ready IT staff on training, onboarding and technology features; Advocate for updates and changes based on partner feedback.
  • Create monthly, quarterly, annual, and ad hoc reports for internal and external audiences, including performance data and other key metrics.
  • Monitor and review gaps in need/service types and elevate gaps to appropriate staff.
  • Document, synthetize, and analyze job-related data to use for learning and improvement, to track progress, and to report to funders and other stakeholders.
  • Ensure project goals, including timelines for implementation, are met.
  • Provide regular reports on progress to Ready Ready leadership team and liaise across other partners/consultants.
  • Perform other duties as assigned by CEO or supervisor.

Required

  • Candidates must live in Guilford County, NC.
  • Bachelor's Degree
  • Nonprofit experience
  • Minimum of 3 years of data entry experience
  • Experience with data reporting and management
  • Advanced skills in Excel and/or other data management software, including formatting, formulas, pivot tables, charts and graphs, and use of Tableau
  • Attention to detail and high levels of accuracy
  • Experience and proficiency in Salesforce and other Client Management System

  • Leadership skills and a willingness to take initiative and be proactive
  • Ability to pull and modify reports
  • Ability to identify data gaps and trends and provide actionable insights to partners.
  • Excellent oral and written communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders
  • Knowledge of the early childhood, education, and/or healthcare systems is a plus
  • Flexibility to adapt to changing priorities, procedures, and work environments, including the ability to handle occasional unexpected situations calmly and efficiently.
  • Full computer fluency with Microsoft Office Suites, Zoom, Teams, and Google Applications
